Census Reporting

Please complete Census Reporting and Grades in StormTrac by the due date set on the Section List sent before the start of each semester.

Every course has a census date and it can be found in StormTrac or on the Section List provided by the Student Records office during the first week of the term.  Instructors are required to maintain attendance for each student through the census date and record an enter date that is within the first 10% of the course for each student and each roster in StormTrac.  For face-to-face courses, the enter date is the first time a student physically attends a class.  For online courses, this is the date the student completes the online entry assignment in Moodle.  For hybrid students, faculty record two enter dates, one on the roster for the scheduled class time and one on the roster for the online component of the course.  For the first roster, the student’s entry date is the first time the student physically attends class, while the date the student completes the online entry assignment (or other qualifying assignment) is recorded on the online roster.  If the student does not enter the course during the 10% period, the student should be marked as a No Show and will not remain in the course.  For more details on completing census roster entry, access the following resources:

Course Entry Assignment

All online and hybrid courses are required to have an online entry assignment in the form of a Moodle quiz to capture a student’s date of entry into the course.  It should be clearly communicated to the students that completion of this assignment is required to remain in the course.  If it is not completed by the census date, and there is no other evidence of active participation within the Moodle course (e.g. discussion forum, quiz, submitted assignment), then the student will be removed from the course.  Students that do not complete the entry assignment (or other qualifying activity) or, in the case of a hybrid course, neither submit the assignment or attend a face-to-face class by the census date, should be labeled as a No Show in StormTrac Web Attendance.  Traditional face-to-face courses do not require a course entry assignment.  In this case, instructors should count the first day a student attended as the enter date.

Online course:  Students must complete the entry assignment by (census date) or they will be dropped from the course.

Hybrid course:  Students must either attend a face-to-face class session or complete the entry assignment by (census date) or they will be dropped from the course.

Required Grade Tracking

Grades in Moodle

Instructors should maintain current grades for every course in their Moodle gradebook throughout the semester.  Grades should also be exported from Moodle, at the very least, at midterm and after final exams for record keeping.  The gradebook can be exported through the Moodle Administration block –>  Course Administration –> Gradebook Setup –> Export tab.  For assistance setting up a Moodle course grade book, visit DCCC Moodle Resources webpage.
