Alumni Association Job Descriptions of Officers

Officers:
President
Vice President
Treasurer
Secretary

President
1. Must be a registered member of the Alumni Association for the     duration of the term.
2. Officers are expected to participate in a majority of the meetings,     events, and activities of the Association.

Duties: The President shall serve as Chair of both the Alumni Association membership and the Executive Committee meetings. Without limiting the generality of the foregoing, the President is empowered and tasked to:
(a)  Chair all the meetings of the Alumni Association Membership and       the Executive Committee;
(b)  Serve as an ex-officio member of all clubs and committees       sanctioned by the Executive Committee, with the exception of the       Nominating Committee;
(c)  Make all required appointments of standing and special committees
(d)  See that all orders and resolutions of the members and Executive       Committee are carried into effect and act;
(e)  Create Task Forces or Advisory Groups from time to time and       determine the membership of each, in consultation with the       Executive Committee;
(f)   Promote the welfare and further the objectives of this Association
(g)  Serve as spokesperson (or duly appoint another spokesperson in       his/her stead) for the Association to the press, legislative bodies,       groups or organizations within the College and the public at large;
(h)  Perform such other duties as are necessary incident to the       President or as may be prescribed by the Executive Committee;
(i)   Keep members of the Association informed of all activities       undertaken and matters of concern to the Executive Committee;
(j)   Serve as Alumni Representative at DCCC Foundation Board       Meetings or duly appoint a representative;
(k)  Work with the secretary in the development of the agenda for the       meetings;
(l)   Encourage the Executive Committee’s role in strategic planning;
(m) Play a lead role in fundraising activities and other events;
(n)  Serve as a liaison to DCCC Alumni Office to carry out the mission
      of the organization.


Vice President
a)  Must be a registered member of the Alumni Association for the      duration of the term.
b)  Officers are expected to participate in a majority of the meetings,      events, and activities of the association.

Duties: The Vice President is empowered and tasked to:
(a)  Fulfill the duties of President in the absence or indisposition of the       President;
(b)  Assist the President with his or her duties, when requested and to       be responsible for such duties as are delegated or assigned by the       President or the Executive Committee;
(c)  May act as liaison to one or more of the following groups: students,       faculty, administration, and other college employees;
(d)  Advise one or more committees and report the committee       activities at each meeting of the Executive Committee;
(e)  Perform any other duties assigned or delegated by the President or       the Executive Committee;
(f)   Serve as the Chair of the Distinguished Alumni Committee. In this       capacity, is responsible for
a.   Accept and encourage nominations for Distinguished Alumnus;
b.   Research qualifications of persons nominated for Distinguished       Alumnus status;
c.   Plan, or cause to be planned, an event honoring the       Distinguished Alumnus.
(g)  Serve as the Co-Chair of the Nominating Committee. In this       capacity, has the responsibility to:
a.   Locate persons who are willing, able, and interested in serving on       the Alumni Association Executive Committee;
b.   Confirm said interest with persons referenced in Item g.a;
c.   Locate persons who are willing, able, and interested in serving as       an officer of the Alumni Association Executive Committee;
d.   Confirm said interest with persons referenced in Item g.c;
e.   Make the appropriate nominations at the Alumni Executive       Committee Meeting.

Treasurer
1. Must be a registered member of the Alumni Association for the
    duration of the term
2. Officers are expected to participate in a majority of the meetings,
    events, and activities of the Association.

Duties: The Treasurer is empowered and tasked to:
a)  Gathers information on income and expenses of the Association and      reports the same to the Executive Committee at each meeting;
b)  Monitors funds of the Association, and alerts President to any      concerns in conjunction with the DCCC Alumni Office;
c)  Works with the President to develop an annual budget and presents      same to Executive Committee for approval;
d)  Serves as the Chair of the Association Membership Committee. In      this capacity, has the responsibility to:
a.  Locate persons who are interested in joining the Alumni      Association
b.  Recommend benefits to Association Members
c.  Coordinate annual membership drive.
e)  Perform other responsibilities assigned by the Executive Committee.
f)   Work with Foundation support staff to manage the Alumni Fund.

Secretary
1. Must be a registered member of the Alumni Association for the
    duration of the term
2. Officers are expected to participate in a majority of the meetings,
    events, and activities of the Association.

Duties: The Secretary is empowered and tasked to:
(a)  Oversee the proper recording of proceedings of meetings of the       Alumni Association Membership and the Executive Committee;
(b)  Ensure that accurate records are kept of all members;
(c)  Distribute a written copy of all proceedings of the Executive       Committee meetings to Association membership and Alumni Office;
(d)  Keep an up-to-date copy of the By-Laws and have a copy present at       all meetings;
(e)  Supply the presiding officers, Executive Committee members, and       Alumni Office with an agenda of all Executive Committee and       special meetings, if it is so desired;
(f)   Handle all correspondence for the Association as directed by the       President;
(g)  Send notices of all meetings and other notices when required to the       general membership in conjunction with the Alumni Office;
(h)  Maintain records of the Association as appropriate;
(i)   Serve as the Chair of the Fundraising and Events Committee. In this       capacity, has the responsibility to:
      I.  Organize the Graduation Recognition(s) as appropriate
      II.  Organize other fundraising activities and events as established
          by the Executive Committee
(j)   Perform other responsibilities assigned by the Executive
      Committee.
